We are seeking a detail-oriented and proactive Junior Operations Specialist to support our U.S.-based trucking and drayage operations. This role is responsible for managing direct transportation operations, ensuring accurate load entry, real-time shipment tracking, timely client communication, and complete billing documentation. The ideal candidate is organized, eager to learn, and ready to grow within a fast-paced logistics environment.
Key Responsibilities
TMS Operations & Load Management
- Enter and build loads accurately in the TMS system, ensuring all shipment data is complete and correctly formatted.
- Maintain and update TMS systems with accurate, real-time shipment information throughout the load lifecycle.
- Stay updated on transportation procedures, industry best practices, and regulatory changes to ensure compliance.
Track & Trace and Driver Communication
- Actively track shipments and provide timely, accurate status updates to internal teams and clients.
- Establish and maintain direct communication with drivers and owner-operators to monitor pickup readiness, transit progress, and delivery status.
- Manage complex customer situations promptly and professionally, escalating when necessary.
Billing Documentation & Client Support
- Upload and process billing paperwork accurately and in a timely manner to support the billing cycle.
- Support billing processes by ensuring all required documentation is complete, verified, and submitted on time.
- Respond to client inquiries and resolve issues related to shipments and billing with a professional and solutions-focused approach.
- Collaborate with internal teams to improve operational processes and overall service quality.
