Brief Job Summary
Reporting to the Sr. Client Finance Manager, Client Finance Manager, or Client Finance Supervisor, the Project Coordinator will assist Client Finance Project Analysts and Sr. Client Finance Project Analysts in supporting the accurate and timely setup and maintenance of project foundations based on assigned duties.
Essential Duties and Responsibilities
- Prepare invoices, email invoices to the Client Finance Project Analyst, client, and/or enter invoices in the client portal as assigned.
- Upload client invoices and keywords to OnBase and Costpoint.
- Perform project-related purchase order requisition coding and approval in the accounting system.
- Close billable codes on active budgets as directed.
- Update project status weekly for lost or inactive projects.
- Research assigned tabs within exception reporting.
- Prepare journal entries of moderate complexity and maintain supporting documentation for warehouse charges, insurance, color copies, accident kits, and project-related adjustments as needed.
- Import journal entries into OnBase based on the required process.
- Select and compile invoices and other documentation from OnBase, the document storage system, in the client-required order. This requires strong attention to detail.
- Load posted items to the OnBase system as directed.
- Review and approve vendor invoices per department guidelines for assigned projects to ensure expenses are properly documented and coded according to the expense and the underlying project budget. Review and approve vendor payments based on overall project approval and cash availability up to $5,000.
- Other duties as assigned which may include:
o Set up or adjust projects according to project guidelines and the Project Accounting Checklist.
o Upload initial budgets by operational team position into the accounting system.
o Review and tie out various budget entries, including quote budgets, operational team budgets, and total budgets, to the total agreement amount. This may include revenue entry and scheduled invoices from signed client agreements.
