We are seeking a detail-oriented and empathetic professional to support client experience and daily administrative operations.This role is ideal for someone who enjoys helping people, staying organized, and ensuring everything behind the scenes runs smoothly. You will serve as a key point of contact for clients while supporting internal coordination and administrative processes.
• Support day-to-day administrative tasks (data entry, scheduling, follow-ups)
• Assist with charting-related administrative tasks, including entering, updating, and organizing information in the EMR/EHR system.
• Ensure charts are complete, accurate, and properly documented for provider review
• Track missing documentation and follow up with patients or internal staff as needed
• Process patient payments, collect copays, and send payment reminders
• Maintain organized client and internal records
• Organize and manage operational tasks as needed
• Assist with inquiries, appointment coordination, and general support
• Provide a warm, empathetic, and professional experience to all clients
• Understand basic client needs and support intake processes
• Serve as the first point of contact for clients via phone, email, and text
• Manage client inquiries, providing timely, professional, and empathetic responses
• Assist with appointment scheduling, confirmations, and rescheduling
• Support client intake processes and ensure a smooth onboarding experience
• Maintain consistent follow-up with clients as needed
• Handle sensitive information with professionalism and confidentiality

Requerimientos
Qualifications:
• 2+ years of experience in customer service, administrative support, or similar roles
• Strong English communication skills (written & spoken)
• Experience handling client interactions in a professional setting
• High attention to detail and strong organizational skills
• Ability to multitask and manage priorities effectively
• Experience in healthcare, mental health, or patient-facing roles
• Familiarity with scheduling systems or EHR tools (SimplePractice)
• Understanding of client confidentiality and privacy standards
• Empathy and strong interpersonal communication
