The Pod Operations Coordinator supports pod leaders and pod teams by improving coordination, organization, and operational follow-through across day-to-day work.
This role is built to support Wildtype’s client-focused, cross-functional pods, with the most direct
support provided to pod leaders across Account Services, Creative, and Strategy. At the same
time, the role serves broader pod needs by helping teams stay aligned, prepared, and moving.
Reporting through Operations, the role begins in Agency Services, where the coordinator builds a
strong foundation in Wildtype’s tools, processes, and ways of working before transitioning into pod
support. This structure is intended to prepare the coordinator to contribute quickly, build sound
judgment, and support pod business needs with increasing independence over time.
Success in this role depends on strong organization, attention to detail, responsiveness, and a
thoughtful approach to the work. Beyond handling logistics and coordination effectively, the
coordinator is expected to build the judgment and initiative to support how the pod operates, not
just complete assigned tasks
Core Focus
This role is focused on three priorities:
1. Reliable support for pod leadership and pod operations
Provide consistent business-related support across scheduling, travel, expenses, meeting
coordination, documentation, and other day-to-day operational needs.
2. Stronger coordination and follow-through across the pod
Help keep communication, materials, meetings, and next steps organized so work moves
forward with fewer gaps, delays, or dropped details.
3. Growth into broader agency contribution over time
Build a strong operational foundation through training and mentorship, then expand into
additional areas of contribution based on agency need and individual strengths. Over time,
this may include presentation support, project coordination, workflow management, or
other cross-functional opportunities across the agency.
Key Responsibilities
- Support the day-to-day operational needs of assigned pods and help keep work moving
- Provide business-related support to pod leadership, including scheduling, travel
coordination, expense processing, and meeting logistics
- Coordinate internal and client meetings for pod leaders and pod teams, including invites,
materials, notes, and follow-up items as needed
- Help manage schedules and priorities tied to pod business needs
- Maintain trackers, records, documentation, and data entry across pod and department
workflows
- Coordinate cross-pod and department meetings, communications, and shared logistics
- Help keep requests, deliverables, and operational details from slipping through the cracks
- Organize pod materials, team resources, and documentation to improve visibility and
follow-through
- Contribute to select client-related and other billable support activities tied to pod
operations
- Complete onboarding and training in Agency Services, then apply that foundation in
support of pod teams
- Take on additional responsibilities over time based on agency need and individual strengths
